Purchase orders and suppliers on the POS

Order stock from your suppliers and add it to your inventory when it arrives — straight from the register.

Before you start

  • Purchase orders are on by default in the Quick billing style. In Standard, switch them on under More > Register style.
  • You need permission to edit settings. Go to More > Purchases.

Add a supplier

  1. Open the Suppliers tab and click Add supplier.
  2. Enter the Name and, if you like, Phone, Email, GSTIN and Address.
  3. Save.

Create a purchase order

  1. On the Purchase orders tab, click New purchase order.
  2. Choose the Supplier, the date it is Expected on and an optional Note.
  3. Click Add products, then set the Quantity and Unit cost for each.
  4. Click Place order, or Save as draft to finish later.

Orders are numbered PO-0001, PO-0002 and so on. You can Print an order or Send on WhatsApp to share it with the supplier.

Receive the delivery

  1. Open the order and click Receive goods.
  2. Each line starts at the quantity still to come. Change Receiving now for anything short, or use Receive all.
  3. Change the Unit cost if the invoice differs, and add a note if you like.
  4. Click Add to stock.

The received quantities are added to stock and recorded with the order number, supplier and cost. Receive part of an order now and the rest later — the order shows Partly received until everything has arrived. You can't receive more than you ordered.

Order statuses

Draft, Ordered, Partly received, Received and Cancelled. Cancelling an order asks for a reason; stock you already received stays in your inventory.
