Several people can share one register. Each person signs in with their own 4-digit PIN, every sale and cash movement is recorded under their name, and what they are allowed to do — refunds, voids, closing the shift, discounts — is set per person.

Owners, staff admins and managers can also change register settings, pair hardware and sell gift cards; staff can't. These follow the role and can't be changed per person. Staff accounts are added by the owner and edited by the owner or a staff admin.

Add a staff member

  1. In your admin, go to Store Settings > Staff Accounts (or More > Staff on the register).
  2. Click Add Staff and enter their Email, Name and Role: Admin (Staff Admin), Manager - Store or Staff - Store.
  3. Click Add Staff.

Only the store owner can add staff. How many staff accounts you can have depends on your plan — the screen shows how many you are using.

Set a POS PIN and permissions

  1. In Staff Accounts, edit the staff member.
  2. Under POS permissions, switch on what this person may do, and set Max manual discount (%).
  3. Enter a POS PIN (4 digits, optional). Leave it blank to keep their current PIN.
  4. Save.

Changing someone's role resets their permissions to that role's defaults. The store owner sets their own PIN the first time they open the register.

Sign in at the register

  1. On Who's using POS?, pick your name.
  2. Enter your 4-digit PIN.
  3. When you step away, click Lock so the next person signs in as themselves.

When a second cashier signs in while a shift is open, they are clocked in to that shift and share its cash drawer. See POS shifts: opening, closing, X and Z reports.

How permissions are checked

  • The register uses both the admin account the browser is signed in to and the person whose PIN was entered — whichever is more limited. A cashier's PIN on the owner's computer gets cashier permissions.
  • Refunds, voids, closing shifts, cash drops, custom prices, discounts above the limit, reports, settings and gift-card sales are checked on our servers, not just hidden on screen.
  • A discount above someone's limit is refused with "This discount is above your POS limit … Ask a manager." Coupon codes are not limited by this setting.

See who did what

More > Activity (needs View staff activity) lists what each person did — sales, refunds, voids, shifts, clock-ins and cash movements. Filter it by staff member, action and date, and open Show details on any entry.

FAQ

Can I require a manager for big discounts?

Yes. Set each cashier's Max manual discount (%). Anything above it is refused, and a manager can sign in with their PIN to apply it.

How do I reset a cashier's PIN?

The owner or a staff admin edits the staff member in Store Settings > Staff Accounts and enters a new PIN.

Do cashiers split the variance at close?

No. The variance belongs to the drawer. Reports show each person's orders, sales, discounts, refunds and voids.
