POS shifts: opening, closing, X and Z reports

A shift is one register's working day with one cash drawer. Every cash sale, cash refund and cash movement is recorded against it, and closing it gives you a Z-report with the counted cash and any difference. Nothing can be sold until a shift is open.

Open a shift

  1. Open the register. With no shift open it shows No open shift and the Open shift dialog.
  2. Enter the Opening cash float — the change you put in the drawer. Leaving it blank opens with 0.
  3. If your store has warehouses, choose the Warehouse / location this register sells from. Your primary warehouse is pre-selected.
  4. Check the Register name (for example Cash register 1). Click Rename to change it on this device.
  5. Click Open shift.

Each register (each device) has one open shift at a time. Opening a shift on a register that already has one simply joins it.

Hand the drawer to another cashier

  1. Click Lock.
  2. The next person picks their name under Who's using POS? and enters their PIN.
  3. They are clocked in to the open shift and every sale from now on is recorded under their name.

More > Shift > Staff on this drawer lists everyone on the shift: the person who opened the drawer (Owner), when each person joined, and who has clocked out. Anyone except the drawer's owner can Clock out; the owner closes the shift instead.

Record cash going in or out

  1. Go to More > Shift.
  2. Under Record cash movement, pick Drop to safe, Paid in, Paid out or Manual refund.
  3. Enter the Amount and a Reason, then click Record movement.

Anyone can record a paid in. Paid out and manual refunds need the Process refunds permission, and drops need Close shift (end of day).

These are recorded for you: cash sales (including the cash part of a split payment and cash paid now on a pay-later bill), cash refunds, and pay-later payments taken in cash (as a paid in).

Expected cash

Expected cash = opening float + cash sales + paid in − refunds − drops − paid out. It counts cash only; card and UPI payments are not part of the drawer. Totals so far and the Movements list on the same screen show every entry.

X-report: a snapshot during the day

Click View X-report on More > Shift at any time. It shows cash sales, refunds, drops, paid in, paid out, the opening float and the expected cash. The shift stays open.

Close the shift

  1. Count the cash in the drawer.
  2. On More > Shift, under End of day, click Close shift….
  3. Enter the Declared cash counted and, if you like, a Note.
  4. Check Expected cash, Declared cash and Variance (counted minus expected: green when it matches, amber when over, red when short).
  5. Click Close & generate Z-report.

Closing needs the Close shift (end of day) permission. The Shift closed card then shows the Z-report: the day's cash totals with the declared amount and the variance. Review it, then click Start a new shift when you are ready.

Force-close a shift someone left open

Owners, staff admins and managers with the close-shift permission see Force close… on More > Shift.

  1. Click Force close….
  2. Enter a Reason. Add the Declared cash if someone counted it — if you leave it blank, the declared cash is set to the expected cash, so the variance is 0.
  3. Click Confirm force-close. The Z-report is marked Force-closed with your reason.

Force-close works on the shift that is open on the register you are using.

Where to find past shifts

  • More > Activity lists every shift opened, closed and force-closed, and every clock-in and clock-out. Show details on a close shows the declared cash, expected cash and variance.
  • More > Reports has a Cash drawer section with cash sales, paid in, cash refunds, paid out and drops for any period. See POS reports: day-end sales, payments, items, staff and tax.

The Z-report itself has no print button, so take a photo or screenshot of it if you file paper records.

Common issues

  • "You do not have permission to close shifts" — ask a manager to close it, or give the person the Close shift (end of day) permission.
  • "The sale is saved, but … in cash could not be recorded in the drawer" — add that amount on More > Shift as a Paid in.
  • The drawer is short every day — check that expenses taken from the drawer are recorded as Paid out and cash taken to the safe as Drop to safe.
