Customizing Order Preferences and Auto-Accept

Order preferences let you reduce manual work by deciding which orders should jump straight to Accepted the moment they're placed, and which should sit in Pending for you to review.

Opening order preferences

  1. Go to SettingsPreferences.

Auto-accept orders

By default every new order lands in the Pending stage. You decide when to accept it. If you want some orders accepted automatically, open the Auto-accept Orders card and choose one of:

  • Prepaid Orders Only — safe default. Anything paid by card / wallet / online payment is accepted automatically and skips Pending.
  • COD Orders Only — for stores that prefer to validate online payments manually.
  • All (COD + Prepaid) — maximum automation. Every paid order is accepted automatically.
  • Never — everything waits for your review.

Other preferences

The Preferences page also includes a few related settings:

  • Sender Email (SMTP) — send customer emails from our built-in mail server or connect your own SMTP credentials.
  • AI Provider — choose which AI model powers your store assistant (Anthropic Claude or OpenAI ChatGPT) and supply your own API key.
  • WhatsApp Notifications — send order updates to customers over WhatsApp (connect your WhatsApp Business credentials to enable).

Saving and testing

Click Save after editing. Place a test order from the storefront to confirm the new behaviour (use a test gateway or coupon-discounted dummy product).

FAQ

What's the difference between Pending and Accepted?

Pending = the order is placed but you haven't reviewed it. Accepted = you (or the auto-accept rule) have committed to fulfil it. Most stores fulfil and ship only after Accepted.

Can I auto-accept some orders but not others?

The auto-accept rule is per payment type (prepaid vs COD). Beyond that, you can pair auto-accept with order-validation app extensions to block certain orders (e.g. high-value first-time customers).

What happens to inventory on a pending order?

Inventory is reserved when the order is placed, regardless of acceptance state. Inventory only releases if you cancel or refund the order.

Does auto-accept charge the card immediately?

Card capture depends on your payment gateway settings (capture on authorization vs capture on fulfilment), not on the auto-accept rule.

What does accepting an order actually do?

Accepting moves the order out of Pending and into your active fulfilment queue, so you can pick, pack, and ship it (or mark it fulfilled). Auto-accept simply does this step for you based on the payment-type rule you chose — it does not ship or fulfil the order on its own.
